Life Admin

Do you need to sign up for utilities, cancel your gym membership or make a doctor’s appointment, but your German’s not up to scratch?

Life admin is hard enough in your mother tongue, and excruciating in a foreign language. Whether you’re running a business, hiring talent, taking care of your tax, planning your wedding or applying for a loan, you’re bound to have questions. If your German isn’t up to scratch, you could spend hours trying to find the answers you need online. Or you could just book an hour of Life Admin. I’ll make phone calls, talk with your service providers to get the answers you need, draft letters in German, walk you through German-language paperwork and take care of all the challenges, big and small. A discount is available if you are applying for ALGI or ALGII or if you’re a registered student.

We have used many hours of Kathleen’s services – she is so detail-oriented and efficient, I never have to worry about anything falling through the cracks. She’s also reasonably priced and gets a lot done in a short amount of time.

    If you need to include paperwork for us to get your job done, upload it here: the letter from your landlord you need answered, the form you need filled out, etc.

    You can send us a JPG using your smartphone if you have to, but it needs to be bright, clear, straight and really good quality – so that we can zoom in and see all the letters, numbers and markings clearly. If your JPG files are around 1MB per page and well-lit, they’re probably good enough.

  • Terms and Conditions: Life Admin

    1. The client (that’s you!) engages the services of Kathleen Parker for telephone interpreting and/or translation help by Skype or phone.
    2. The Life Admin service may be provided by Kathleen Parker or by another interpreter or translator instructed by her.
    3. Life Admin is suitable for general communication by phone, email or post in German and/or English. For matters that are legal or highly technical in nature, or that involve a legal dispute, Kathleen recommends consulting a lawyer, or a specialised, court-sworn interpreter.
    4. The fee for Life Admin is 49 EUR per hour, with a minimum purchase of one hour, paid in advance. ALGI/II recipients and registered students can use Life Admin for 39 EUR per hour.
    5. A minimum of 15 minutes will be used for each Life Admin task. If a client's balance falls below 15 minutes, we will send a payment link to buy another hour before the service can be used again.
    6. The fee is non-refundable. However, if clients have more than 15 minutes of time left over, they can allocate this Euro value to other Red Tape Translation services.
    7. Life Admin services are performed at a convenient time for the Life Admin assistant. If the client requires the work to be performed by a specific deadline, this will be agreed upon in advance.
    8. Kathleen will do her best to accommodate urgent requests but cannot guarantee round the clock or immediate availability to make phone calls or perform admin services. Tasks generally get done within business hours.
    9. Cancellation/rescheduling: If a client has to cancel or reschedule a session booked, they should do so at least 1 business day in advance to avoid forfeiting the entire fee paid for the session booked. The long version: When you book Life Admin, your Life Admin assistant sets the time aside to focus on your tasks. This means they can’t take on any other work during the allotted time. If you don't show up, your assistant still needs to be paid. For this reason, we have a strict cancellation policy for Life Admin. You can reschedule up to one business day in advance and keep your credit, but if you simply don't show up, you'll forfeit your credit for the session that you booked.
    10. If the client schedules an appointment with a Life Admin assistant but cannot be reached at the agreed time, the Life Admin assistant will keep him/herself available by phone or Skype for 30 minutes. If the client does not make contact within this time, they forfeit the Life Admin fee paid for the entire duration of the appointment. The long version: Sometimes things go wrong or internet connections fail. Rest assured that if we can't reach you online, we will contact you by phone. Either way, we'll be sure to stay available for you, both online and via phone (on +49 30 2089 6634), for 30 minutes after the start time of our scheduled session.
    11. Kathleen Parker only offers translating/interpreting services. Kathleen Parker does not offer legal advice or any other sort of advisory services under Life Admin. Kathleen Parker therefore accepts no liability for the outcome of client phone calls.
    12. Some German authorities or organisations (for example, the Agentur für Arbeit or banks) may ask identity questions while on a call. They may also request a verbal power of attorney statement from the client, authorising the interpreter to participate in the conversation. If the client does not give verbal consent, the third party may refuse to continue with the call while the interpreter is on the line. In this case, the minimum 15-minutes used for the session will not be refunded to the client.
    13. Telephone or video conversations in which a Life Admin assistant is present must not be recorded for any purpose without Kathleen Parker’s express written consent.

  • First, some definitions

    1. Personal data: any piece of information concerning an identifiable person, including their factual circumstances. These may include name, postal address, e-mail address, telephone number, communication ID (e.g. Skype, Hangouts), and other details you leave in notes or send as attachments. The personal data may be sensitive in nature (e.g. you might attach a medical report for translation).

    2. Processing: this means working with these pieces of personal data on your behalf. This could include collection, storage (including cloud-based), amendment, transfer, translation, proofreading, discussion or deletion.

    The Data Protection Policy

    1. Kathleen Parker takes data protection issues seriously and strives to protect customer rights.
    2. Kathleen Parker processes personal data only with customer consent or if a legal provision allows it. Personal data, including that of a sensitive nature, is only processed in a way necessary for responding to inquiries and processing orders, and only after the client has consented to this voluntarily. When you tick the box agreeing to the privacy policy before you submit information on this contact form, you consent to the processing of your personal data in a lawful, fair and transparent manner.
    3. Personal data will be stored for as long as necessary to perform service or maintain the relationship desired by the customer. The customer can request deletion of personal data at any time following delivery of the service requested. Mandatory data retention periods (e.g. for tax purposes) remain unaffected by this provision.
    4. Personal data is processed by Kathleen Parker, her employee/s and/or other authorised representatives or translators commissioned by her, all of whom are contractually obligated to treat personal data in compliance with this policy and with statutory provisions.
    5. Kathleen Parker has set up organisational and security measures to protect your data from unauthorised access or misuse. These measures are updated regularly in line with relevant statutory provisions.

    7. At any time, the customer can request information at no charge about the information stored or the security measures taken by Kathleen Parker. Incorrect entries can be rectified. Data stored unnecessarily can be deleted upon customer request. A simple email request is fine.

FAQs

Can you make phone calls on my behalf?

I am happy to make calls on your behalf if it’s appropriate. Some matters can only be handled with a conference call, though. For example, it won’t be possible to call your bank or speak to the Agentur für Arbeit without you being on the line.  In these cases you need to identify yourself and give permission to have me talk about your case.

I’ve bought an hour but I don’t need all of it. What happens to my leftover time?

You’ve got a year to use up your Life Admin credit, so if we speak for 15 minutes, you’ll have 45 minutes remaining and twelve months to use it. Just keep in mind that if you need to schedule a time to discuss anything with us or be on the line for a three-way call, you’ll use a minimum of 15 minutes per session.

How does Red Tape Translation handle sensitive information during phone calls?

With confidentiality, tact, professionalism and neutrality.

How does Red Tape Translation handle privacy procedures during phone calls?

For certain phone calls, you might need to identify yourself or give verbal permission to have me on the line. You might also have to give a phone password or other personal information. If you’re making a payment, you might have to give your credit card number over the phone. Rest assured I do not ever record your personal information. If you’re still not comfortable giving me access to this information, you might prefer to use your Telephone Time for something else.

When can’t I use Life Admin?

If you want me to make calls, keep in mind that some banks or other organisations might not reveal information over the telephone when a third party is present on the line for security reasons, even after you have given your consent verbally. Unfortunately, a refund of time used to make that phone call will not be possible. Life Admin is not an tax or legal advisory service - e.g. I can't represent you in a legal dispute or complete your tax return or VAT statement. I also can't give you insurance recommendations. I can help you to translate a contract but I can't offer my opinion on whether sections of it are legally sound.
